Rent collection

Your rent, collected and paid out without you chasing anyone.

Your tenant pays rent directly into our client account, which is protected under the Money Shield Client Money Protection scheme. Once a payment has cleared and been allocated to your ledger, we transfer it to you within 3 working days.

If a payment is late, we pick it up, not you. We contact your tenant with reminders and calls, follow up formally in writing if it stays unpaid, and keep you updated at each step. If arrears build, we advise you on your options, including serving notice.

Tenant communications

We're your tenant's first point of contact for everything.

Maintenance reports, questions about the tenancy, notices and day-to-day queries all come to our team. We log them, deal with them and keep a record against your property.

You only hear from us when something needs your input or approval, plus updates on anything in progress. No late-night texts about a dripping tap.

Maintenance coordination

Repairs triaged, instructed and tracked through to completion.

When your tenant reports an issue, we triage it first. Some problems can be resolved over the phone or with simple guidance, which saves you a callout. Where a contractor is needed, we instruct one from our preferred network, or your own if you'd rather, and keep you informed until the job is closed.

You approve any non-urgent spend before work is instructed. Contractor invoices are passed to you at cost, with no percentage added on top.

A small, banded processing fee applies to maintenance works to cover payment administration. It is not a percentage of the contractor's cost.

24/7 out-of-hours emergency line

A real person on the phone, any hour of the day or night.

Your tenant can reach a real person at any hour, every day of the year. We triage the issue remotely and, where there's a risk to life, health or the property, dispatch an emergency contractor straight away. You get a full update in the morning.

This is not a voicemail service, and it isn't a general helpline. Non-urgent issues are logged and picked up by the team during working hours. Emergency repair costs are charged to you as normal, with no markup.

Property inspections

Inspections when you want them, with a written report every time.

Your monthly fee includes up to one in-person inspection and three virtual inspections a year. Rather than working to a fixed schedule, we carry them out when you ask, so you can time them around what matters to you, such as a few months into a new tenancy or before a rent review. Fair usage applies.

Each inspection comes with a written report covering the condition of the property, any maintenance issues spotted and anything we recommend. If you need more than your included inspections, extra ad-hoc visits are available as an add-on.

Compliance management

Renewals chased before they're due, not after.

  • Gas safety, EICR and EPC renewals tracked
  • Advance reminders before anything expires
  • Certificates stored in your account
  • Local property licensing monitored

We track the key safety certificates for your property and chase renewals ahead of time: gas safety, EICR and EPC. Upcoming renewals are flagged to you in advance, and if you'd like us to arrange a certificate, we can book it through our contractor network. The cost of the certificate itself is charged to you.

Certificates are stored against your property in your MyHub account, so you always know what's in date. We also monitor your property against local selective and additional licensing schemes, and let you know if a licence is needed.

Deposit protection

Protected with TDS Custodial from day one.

  • Prescribed information served on your tenant
  • Deduction negotiations and disputes handled for you

Your tenant's deposit is registered with TDS Custodial, a government-approved scheme, and the prescribed information is served on your tenant. TDS holds the money for the whole tenancy, so it's protected for both of you.

At the end of the tenancy, we handle the return. We agree any deductions with your tenant, and if they can't be agreed, we prepare and submit the evidence to TDS's dispute resolution service on your behalf.

Rent reviews

Market-backed advice and the whole Section 13 process, on request.

When you'd like to review the rent, just ask. We research comparable properties in your area, advise you on a realistic market rent and then handle the Section 13 process from start to finish, including serving Form 4A on your tenant.

Under the Renters' Rights Act, rent can be increased once a year through this process, with at least two months' notice. Your tenant can challenge an increase at the First-tier Tribunal, so getting the figure right matters. A button to request a rent review directly from MyHub is on its way.

End of tenancy

Notice, move-out and the deposit, managed for you.

When a tenancy is coming to an end, we manage the process with your tenant: confirming notice and the move-out date, then handling the deposit return and any negotiations with your tenant and TDS.

A checkout inspection, comparing the property against the check-in inventory, is available as an add-on. We recommend it, as it's the evidence that carries the most weight if a deposit is disputed. Re-letting the property when a tenant leaves is also an add-on, charged at our standard Tenant Find fee.

Non-Resident Landlords

HMRC NRL obligations handled at no extra charge.

  • NRL tax withholding where required
  • Quarterly HMRC returns submitted for you
  • No extra charge

If you live outside the UK, HMRC's Non-Resident Landlord scheme requires your letting agent to deduct basic rate tax from your rent, unless HMRC has approved you to receive it in full.

We handle this for you: withholding tax where required, paying it to HMRC and submitting the quarterly returns on your behalf. It's included in your monthly fee at no extra charge.

Switching from your current agent

Move your tenancy to us without finding a new tenant.

  • Handover arranged with your current agent
  • Tenant told how to pay rent from now on
  • No new tenancy needed

Already let through another agent? You don't need a new tenant to switch. You can give notice yourself, or we'll email your current agent with you copied in. We then collect the tenancy agreement, certificates, keys and deposit, audit your compliance, and let your tenant know how to pay rent from now on.

Your tenant stays on their existing tenancy, with no new agreement or re-referencing, and there's no fee to switch. See how switching works.

What sits outside the monthly fee

Your £40 a month covers the day-to-day management of your tenancy. A few things are charged separately, and we'll walk you through all of them before you sign up.
